Calendar Sync

Calendar Sync connects your TROOP agenda directly to Google Calendar, so attendees always have the latest schedule, right where they need it.

🚨Make sure you've added your attendees to the meeting before syncing.

How it works

  1. Build your agenda first
    Before connecting your calendar, set up your meeting agenda in TROOP. Add as much or as little detail as makes sense for your meeting.
  2. Connect your calendar
    When your agenda is ready, click Connect Calendar inside the agenda. This opens the integration between TROOP and Google Calendar and you can follow the prompts.
  3. Name your meeting calendar
    Give your calendar a name and TROOP will create a dedicated calendar in your Google Calendar account, and every session from your agenda will appear there automatically.
  4. Share with your attendees
    You have two ways to share your agenda:
    1. 📋 Copy agenda link: Share a live link to the agenda with anyone. This lets them follow your new calendar in Google Calendar so they can see updates as they happen. It won't send any notifications if something changes, and they'll only have view access. And they can't make changes to your calendar.
    2. 📨 Send calendar invites: Send calendar invites directly to each attendee — just like sending a meeting request from Google Calendar. It updates automatically for every new attendee added to the meeting.

FAQs

  • What calendars does this work with? 
    This is built for Google Calendar. We will add Outlook at a later date.
  • Can I disconnect the calendar later? 
    Yes. You can unsync your calendar at any time. Doing so will delete the calendar from your Google account and remove those events from any attendees you've sent invites to.
  • Does calendar sync apply to all my meetings? 
    No. Sync is set up per meeting, so you'll connect it individually for each one. Think of it as a meeting-by-meeting switch.
  • Do I need a fully finished agenda before I sync? 
    Not completely. We recommend having your main structure in place, but you can always update sessions after syncing. Changes will push to calendars automatically.
  • What happens if I add a new attendee after sending invites? 
    If you've already sent invites to other attendees, any newly added attendees will automatically receive their calendar invite too. Similarly, if an attendee is removed, the event will be removed from their calendar.
  • Can I make changes from my Google Calendar? 
    You can make changes in Google Calendar, but you'll need to sync changes in TROOP for those changes to be reflected. Google doesn't automatically notify TROOP when something has changed — you'll need to actively sync.
