Travel Policies

Learn how to access, add, edit, and delete your travel policies.

Access your travel policies

To view your travel policies, go to the left sidebar and click "Settings"


Create a new policy

You can create different travel policies to match your company’s travel rules. For example, one policy can allow only economy class, and another can allow upgrades based on flight duration.

🚨 You are allowed to select one policy for each meeting.

To create a new policy, go to "Settings" on the left sidebar. Then on the top bar, go to "Travel Policy" and click "+Add a policy". 

After naming your policy, there are two settings to set up: flights and accommodation. 

1. Flights

Arrival and departure times

Decide when you want your attendees to arrive and leave. TROOP will help find flights by checking how many hours before the meeting starts you want them to get there, and how long after it ends you want them to stay.

 

Cabin Class

Choose the cabin class that attendees are permitted to travel in.

If you select multiple cabin classes, you can upgrade the class based on the total leg duration. If this option is not chosen, TROOP will show all available flights in the selected cabin classes.

Alliances & Carries 

Customize your preferences by choosing to include or exclude the alliances available. By clicking on each alliance, you can view and choose which airlines to include.

💡  If you select an alliance or carrier as "out of policy", it will not appear in the results.

Both Included and Preferred options will be displayed without prioritizing the preferred choice.

2. Accommodation 

TROOP helps you choose a destination by calculating average costs of hotels in a city. You can decide if you want hotels near the airport, city center, or your office. You can also set the star rating and the number of hotels to consider in the average. 

💡 The star rating influences how TROOP determines the average hotel cost for each location. TROOP will evaluate only those hotels that meet the specified rating and calculate an average from that information.

When you are done editing the different sections, click "Save" on the right corner. 


Edit a policy

To edit a travel policy, click on the policy you wish to modify. Make the necessary changes and then click "Save".

 🚨  Changes to the travel policy won’t affect meetings analyzed before the update. To see updated results, you'll need to re-analyze the meeting.


Delete or duplicate a policy

To remove or copy your policy, follow these steps. Ensure the policy is not set as the default before deleting it.
